WebTrends Overview

WebTrends is a market leader and industry standard in web analytics. All of our market and facility websites have access to a WebTrends profile customized to track their site activity. In the ICU Tool, the WebTrends profile and analysis tool can be found on the menu bar under Advice / Traffic Reporting.

Time Periods - By default, the calendar selects the current week for an activity query, but the calendar can be set to query a specific time period by clicking on the month name (for full month activity) - or clicking on a specific week for a more narrow focus. Use the arrow icons to navigate between months and / or years desired. Our data backups guarantee a minimum of 3 months worth of data, but if you are interested in archiving historical reports, it is a good idea to save them off monthly.

Exporting Results - You can export the report data using the icon to the top and right of the calendar - formats include MS Word, Excel, CSV and PDF. The first time you run a report, you will be taken through a series of prompts to download some java files and WebTrends components. It is safe to select "Yes" or "OK" through all these prompts. When exporting, you select your desired end format and the type of report content you want. You can select Full Report (which includes all the report data from every line item under the table of contents) or Current Chapter (which exports only the data pertaining to the section you are viewing). The default Items to Display is 20, which indicates where available you will retrieve data on your top 20 results. As a general rule, choose "Auto" for the means to export.

Dashboards and Key Reports - are listed as links down the left side of the interface in a collapsible menu format.

Comparative Mode - is an extremely useful tool to compare two date range selections side by side (such as Sept / Oct monthly activity). However, some graphs are not available in this 2-dimensional, comparative mode format. If the desired graph is available in the comparative mode, a small 2-graph icon appears in the upper left corner by the title with hover text indicating 'comparison report'. Otherwise, the icon display is a single graph by the title with hover text indicating 'non-comparison report'.

Glossary - If you need further clarification or assistance, the Glossary listed at the bottom of the Table of Contents in WebTrends is an invaluable resource.

Key Terms defined:
Visits - A visit is a series of actions that begins when a visitor views their first page from the server, and ends when the visitor leaves the site or remains idle beyond the idle-time limit. The default idle-time limit is 30 minutes.
Hits - Each file requested by a visitor registers as a hit. There can be several hits on each page. (Note: Although included in the WebTrends data reports, Hits are no longer a relevant, pertinent statistic to gauge activity for your facility website. They were useful to our old reporting method (IIS), but the new platform we use (DCS) gives more realistic counts, avoiding spidering and inflated results.)

Note: When viewing any of the dashboard or other reports - if the titles of graphs are blue, this indicates a link to a subsection with more detail.

 The most widely used site activity data can be found on the Overview Dashboard.
It answers questions such as:
"How many visits are we getting this month?"
"How many unique visitors?"
"What is the average number of visits per day?"
"What is the total count of pages viewed during the first week of the month?"

 Marketing professionals and Web Site Administrators seeking to track and optimize their site activity and searchability will find the Marketing, Referrers and Search Engine Dashboards useful.
It answers questions such as:
"Which search engines are giving me the most traffic?"
"Which domains are sending people to my site?"
"Which specific phrases or keywords are people using to get to our site?"

 For more detailed information on visits and visitors, try the Visitors Dashboard.
It answers questions such as:
"How many new versus returning visitors do I have?"
"What is the average amount of time a visitor spends in the site?"
"What geographic regions are represented in our results?"
"What type of domains are seeking information from my site?"

 The Pages Dashboard is the place to look for data on content groups and specific pages of the website.
It answers questions such as:
"At a high level, what are the top content groups on our site?"
"More specifically, what pages are viewed most?"

 For those who need very specific details on every page on the site, check out the Parameter Analysis section. (Note: We only track 1 dimensional Parameter Analysis)
It answers questions such as:
"I put a new PDF on our site. How many times has it been viewed?"
"Our new look to coincide with the marketing campaign went live the second week of July. Is there an increase in traffic to our Welcome page?"
"Is the IPix tour getting viewed?"
"What specific health content pages are getting the most attention?"

Dashboards described

Overview Dashboard
(This displays key graphs and tables that provide an overview of the entire report. Click on the title of a graph or table to navigate to the corresponding page.)

Visits Trend - This report shows how many times visitors visited your web site and how long they stayed. The information is divided into time slices based on the duration of the log file (30 minutes). Visits are freshly counted during each time interval in the report. Some visits may span more than one time interval, and therefore a single visit may be counted more than once. This manner of counting visits may cause the Visits Trend total visits to exceed the total visits shown on the Overview Dashboard page.
Unique Visitors Trend - Number of individuals who visited your site during the report period. If someone visits more than once, they are counted only the first time they visit. Values of "N/A" indicate that the detailed data required for Unique Visitors per time period is not available. This situation occurs when the Top Visitors report has reached its configured limit.
Visit / Visitor Summary - these panes capture data summarized from their corresponding graphs and detail sub-sections.
Page Views Trend - graphs the daily total of pages viewed on your site.
Page View Summary - this pane captures data summarized from its corresponding graphs and detail sub-sections.
Hits Trend / Summary - no longer relevant - please see note above under 'Key Terms defined'.

Marketing dashboard
(This dashboard summarizes important information related to online marketing activity.)

Visits by Referring Site - This report identifies the domain names and IP addresses that refer visitors to your site. Referring Site is a web site which refers a visitor to your site by linking to it. No Referrer represents direct traffic to the web site as one of the following: 1) the visitor typed the domain name directly into their browser, 2) the visitor bookmarked the site, or 3) the visitor clicked on an email, shortcut, or other direct link.

Activity by Search Engine - using the referrer data, WebTrends tracks entry to your site from the major search engines (Google, Yahoo, MSN, AOL, Netscape) The Activity by Search Engine provides the following detail information: The first table identifies which search engines referred visitors to your site most often, the number of referrals, and its percentage of the total. The second table identifies the most popular search phrases for each search engine. The third table identifies the most popular keywords for each search engine.

Referrers Dashboard
(The table includes statistics on the total activity for this server during the reporting period. All dates and times refer to the location of the system running the analysis.)

Visits by Referring Page - This report provides the pages from the sites with links to your site. Detail level for 20 referring pages is found on the Activity by Referring Page sub-section.
Visits by Referring Domain - This report identifies the top-level domains that refer visitors to your site. Detail level for 20 ferring domains is found on the Activity by Referring Domain sub-section.

Search Engines Dashboard

Activity by Search Phrase - lists the top search phrases used by a search engine to direct the visitor to your site. The Activity by Search Phrase sub-section provides detail on up to 20 search phrases and the referring search engines.
Activity by Search Keyword - lists the top search keywords used by a search engine to direct the visitor to your site. The Activity by Search Keyword sub-section provides detail on up to 20 search keywords and the referring search engines.

Visitors Dashboard
(This displays key graphs and tables that provide an overview of the Visitors chapter. Click on the title of a graph or table to navigate to the corresponding page.)

Visitors Trend - This report shows how many times visitors visited your web site and how long they stayed. Average Length of Visit Trend - displays the average visit length in minutes, which is roughly calculated by the total visitor minutes, divided by number of visits. Choose the Visitors Trend sub-section to see detailed information and an explanation of calculations for this section.
Visitor Minutes Trend - Number of minutes your web site was viewed, regardless of who was viewing it. Choose the Visitors Trend sub-section to see detailed information and an explanation of calculations for this section.
First Time Visitors Trend - Number of visitors who had never visited your web site before. Choose the Visitors Trend sub-section to see detailed information and an explanation of calculations for this section.
Top Countries by Visits - This report identifies the top countries of the visitors to your site. For detailed information on both Visits by Country and Region, refer to the Geography sub-section.
New vs. Return Visits - This report compares the number of visits by new and returning visitors to your site. New Visitors are visitors who didn't have a cookie from your site on their first hit, but had one on later hits. Returning Visitors are visitors who already had a cookie from your site when they visited. Visitors Not Accepting Cookies are visitors not accepting cookies from your site. There is no way to determine if these visitors are new or returning.
Visitors by Number of Visits - This report shows the distribution of visitors based on how many times each visitor visited your site.
Top Visitors by Visits - This report identifies the IP address, domain name, or cookie of each visitor, and identifies the visitor's relative activity level on the site. If you use cookies to track visits, Reporting Center can differentiate between hits from different visitors with the same IP address. To see detailed data, refer to the Top Visitors sub-section.

Pages Dashboard

Page Views Trend - graphs the daily total of pages viewed on your site.
Page View Summary - this pane captures data summarized from its corresponding graphs and detail sub-sections.
Top Content Groups by Visits - This report identifies the most popular groups of web site pages and how often they were visited. Click the blue graph title to launch the detail report. For example, Health Content group totals would be found in this section, but if you need specific page totals, see the Parameter Analysis section.
Top Pages by Visits Trend - This identifies the most popular web pages on your site and shows you the number of visits for each, and displays the average length of time the page was viewed. Click the blue graph title to launch the detail report. For specific page totals, see the Parameter Analysis section.
Top Entry Pages - This report identifies the first page viewed when a visitor visits your site. The most common entry page is usually the home page, but other common entry pages include specific URLs that visitors type, pages that have been bookmarked, or pages referred to by other sites. Click the blue graph title to launch the detail report.
Top Exit Pages - This report identifies the last page visitors viewed before they left your site. Click the blue graph title to launch the detail report.

Top Directories by Visits - primary directories used during visitor session on your site.

Parameter Analysis
Detailed tracking of specific web pages visited or hits to a specific page.
Note: Regarding % data - If one visit includes hits for multiple dynamic pages, as is often the case, each parameter is counted every time it is used. As a result, the total may exceed 100%.

We track only the 1D data sections:
URL Parameter Analysis by Visits - This report shows how often each page/parameter pair--or dynamic page--was visited. A visit is a series of actions that begins when a visitor views their first page from the server, and ends when the visitor leaves the site or remains idle beyond the idle-time limit. The default idle-time limit is thirty minutes. This time limit can be changed by the system administrator.
Custom Page (GUID) - for pages referenced by a GUID identifier
Custom Page (Common) - for pages referenced by a Page Name
Health Content Analysis (EPNet DocID) - Healthgate's new URL reference page
Health Content Analysis (EPNet ChunkID) - Healthgate's new URL reference page
URL Parameter Analysis by Hits - Number of page views where this page used this parameter. Each file requested by a visitor registers as a hit.

Single Access Pages - This report identifies the pages on your web site that visitors open, then exit from, without viewing any other page. Click the blue graph title to launch the detail report.

Top Paths Through Site - This report tracks visitor activity beginning with their entry page into the site--the first page they open--then all subsequent pages during their visit. The default definition for a page in this context is defined as a document ending with the extension .htm, .html, or .asp. This definition can be changed by the system administrator.
